How to create a workflow
Workflow is a way for you to manage and upload documents that you may need employees to view or sign, this could be things like employment contract, Security training, induction etc. Once the workflow has been setup this can then be accessed by employees that you’ve assigned the documents to.
To create a workflow please follow the steps below:
- Go into settings in top right cog
- Once you’re in settings click on HR records
- Then Company documents and click the green + button
- Set the description as to what document you are attaching and upload the document that you desire.
- Once you’ve uploaded the documents that you need, you can now navigate to Assignments
- Then click the green + button to create an assignment
- Input a name for the assignment
- Then select the correct document that you uploaded earlier from “company documents”
- Tick upload document
- You can now hit create, which should create the assignment.
- Once the assignment has been created navigate to Stages
- Once you’re in stages press the green + button to create a stage
- Input a name for the stage
- Tick the appropriate assignments for the stage that you’re creating
- Hit create and this should create the stage for you
- Once the stage has been created navigate to Processes and click the green + button
- Insert Name and select client type as “Employee” and hit create
- Once the process has been created, double click on the process that you just created.
- Edit process should now be displayed, go ahead and click on the + button
- Create process stage should be displayed, select the stage name from the dropdown list
- Please also ensure that when adding a stage against a process that you always put the sequence no as 1.
- For additional stages against one process, this would then be sequentially ordered, i.e. for the second the stage you would then put 2 for the sequence no and so on.
- Now hit create, which should now show you that the stage has been added onto the stage1’s process and hit save.
After doing all these steps you can now navigate into HR then workflow
- Once you’re in workflow you should now be able to see Process, tag, employee on the left-hand side which you can navigate using the dropdown lists.
- Once the correct process has been selected and the right employee that you want to assign the documents to, you can now go ahead and click on the green + button
- This should now add the employee onto the stage 1 list, which will allow that employee to access the document that you uploaded earlier, which they can view and sign as well.
- To check if the employee has access to the document, you just uploaded, go into settings in the top right cog.
- Navigate to employees then employees again
- Double click on the employee in question
- Once the employee work record comes up, click on workflow
- Then select the process you created earlier
- This should now show the assignment and with the document link that as well.
- The employee can now access this under their self-service to view and sign.
- You can also upload another document on their if you would like, using the upload document function.
Congratulation you have now setup a workflow!!
