Email configurations allow Admins to choose recipients for specific requests, ensuring emails reach the right people.
Giving a user access to Email Configurations
To setup email configurations, the user will firstly need the correct access.
This access can be given in the users "Admin Access" by going to Settings -> Organisation -> Users and clicking on the desired user.
Once here, the user will need Settings ticked within Admin Access
Ticking this will then enable a new tab called Settings:
In here is where email configurations can be enabled for this user.
This user will now have access to setting up Email Configurations.
Configurable Email Notifications
Admins can set up email notifications for the following requests:
- Holiday Requests – When an employee submits a holiday request.
- Holiday Removal – When a previously approved holiday is removed.
- Absence Requests – When an employee submits an absence request.
- Employee Change Requests – When an employee requests changes to their details.
- Note Sent – When a note is sent within the system.
Creating a New Email Configuration
Once the user has the correct access, they will be able to set up email configurations within
Settings -> Organisation -> Email Configurations.
You will then be presented with the following screen:
Click the "Add Email Config" button at the top right.
This will bring you to the following screen:
Email configurations are based on Notification Types and Tags.
For example:
If you want all Holiday Requests from Warehouse Staff to go to test@gmail.com and test2@gmail.com:
- Select "Holiday Request" as the Notification Type.
- Choose "Warehouse Staff" as the tag.
You can then assign recipients by typing any email into the "Email Address" field, and clicking the add button.
Once added, the emails will be displayed below.
You can also remove these recipients by clicking the "X" marked on the email box.
Feel free to add as many recipients as you like, as there is no limit.
Once all above is complete, click "Create".
In this case, any Holiday Request notifications from all Warehouse Staff will now go towards the recipients listed.
You have now setup an Email Configuration!
