Rosters are what is known as a "working pattern", the shifts that are scheduled to each day of the week which will then repeat on a 'Duration' basis.
These are great for employees that work the exact same shifts on a weekly basis, or for workers that may do day shifts one week, then night shifts the next then repeat.
To access rosters, select 'Settings' in the bottom-left corner, then 'Shifts and Rosters' then 'Rosters.
Creating Rosters
To create a new roster, click the orange 'Add Roster' button, or to edit an existing one simply double-click on it.
Name - The unique name given to the roster which will be assigned to employees
Code - A shorter reference code for the roster.
Start Date - This is earliest date the roster will start, and normally a Monday.
Duration - The duration in which the roster will repeat over, usually '7' for a full.
Archived - Move the roster into an archived state to hide from view.
Schedule -
- Shift - These are normal shifts that you can select and associate with the relevant day(s) by clicking Assign.
- Variable Shift - The same as above, but using variable shifts which can be created using this link: {Placeholder Link}
Overtime - This is where you can select a 'Weekly Overtime' rule where the overtime will raise at the end of the week rather than on a daily basis. These can be created using this guide: {Placeholder Link}
To apply shifts to the relevant days of the week, simply tick the box on the left-hand side of the relevant days and then choose the appropriate shift for those days via the 'Shift' drop-down.
Do the same for any other days of the week, such as Saturday & Sunday being applied as 'REST' or weekend overtime shifts and then click 'Save'.
Applying the Roster to Employee(s)
To apply the roster to an employee, you'd need to access their employee record. Within their employee record, on the 'Personal Details' page, you'll see a 'Roster' drop-down.
If the employee has never clocked before, simply locate the appropriate roster and apply this here.
This can also be applied to employees in bulk via the 'Bulk Editor' using these steps: {Placeholder Link}
If the employee has clocked on a roster previously and is changing to a new one, you'd need to action the 'Change Roster' process, which you can do by following the steps on this guide: {Placeholder Link}
Once the roster has been appropriately applied, either through the drop-down or change roster process, on the 'Timesheet' screen, you'll see the shifts within the 'Roster Shift' column.
