The 'Change Roster' feature within Chronicle allows you to change the roster of an employee whilst retaining the 'Rostered Shift' of previous weeks. This also allows you to schedule a roster change in the future.
This process would need to be actioned if an employee has already been clocking on a defined roster.
To action a change roster, this is done within the employee record. The steps to make this change are as follows:
Step 1 - Accessing the Employee Record
Go into View -> Time sheets
- Locate the employee for the roster change and hover over the employee name and select it to open the employee record.
- Within their employee record, you can see the roster they are currently scheduled for in the 'Roster' drop-down. Make a note of this, as we'll need to end this roster to begin the new one.
Step 2 - Ending the current roster
For the 'Change Roster' process to work correct, the current roster that you made a note of will need to be ended.
- Select the 'Change Roster' button and then select the 'Create Record' button.
- Select the current roster from the 'Roster' drop-down.
- Leave the 'Rotation' box as '0'.
- Set the 'Start Date' to the date the employee started on this roster (If you don't know this, you could use either their join date or, the first Monday of the current year)
Set the 'End Date' to the day before the new roster is due to begin (Preferably a Sunday).
- With the previous roster information entered click 'Save'.
Step 3 - Beginning the new roster
Now the previous roster has been ended, we can schedule the new roster to begin.
- Select the 'Create Record' button again.
- Select the new roster from the 'Roster' drop-down.
- Leave the 'Rotation' box as '0'.
- Set the 'Start Date' to the date that is 1 day after the previous roster ended.
Leave the 'End Date' blank, in preparation for the next change.
- With the new roster information entered, select 'Save'.
Now that the change roster process has been actioned, it should look similar to the below:
If you have future-dated the new roster, the 'Roster' drop-down within the employee record will update upon that date.
