If an employee leaves the business and is no longer required to have an active employee record. You can remove them from your environment. This archives the employee record so the information is still accessible.
You can still report on left employees, however marking them as left frees up the employee licence so that you can use this for a new employee.
You can re-instate this employee at a later date which will restore them to your live environment with all of their previous data (Doing so will require an employee licence).
To mark an employee as a leave, you'll need to follow the steps below:
- Navigate to 'View' then 'Live Data'.
- Locate the employee and double-click on their name to access their employee record.
- Select the 'Additional Info' tab.
- Enter a leaving date within the box.
- A leaving date within the past will immediately archive them.
- A leaving date on the same day or in the future will remove that record at midnight at the end of the defined date.
- Select 'Save'.
Note - employees that have been archived can be found on Live screen and shown by using the filter on the left to show 'left employees'.
