Within Chronicle, you have the ability to notify any employees that are on a REST day that a shift is available to work, to which the employee can then provide a response via their Self Service.
The employee would receive an e-mail follow the shift notification being sent, prompting them to login and provide a response.
To send shift notifications, you'd start by accessing the 'Toolbox' drop-down and selecting 'Shift Notifications'.
Filters
When accessing the shift notification screen, above the table of employees you'll have some filters to use to make locating the employee(s) quicker.
Tag
- This will allow you to filter the table of employees down to a specific tag which you have access to.
Date
- The date is to be set for the date in which you're looking to send the shift notification for.
Shift
- This will be the shift that is available and will be the one the employee gets notified about.
Using the Shift Notification Feature
After the appropriate tag, date and shift has been set, the list of employees should populate - If no employees appear in the list, it will be because no employee is assigned to REST on the date selected.
Within the list, you will also be able to see hourly rate of the employees if defined, this will allow you to choose effectively on who receives the notification for the lowest cost.
With the appropriate employees selected, you'd then click the 'Send Notification' button in the top-left.
Once the notification is sent, the employee should receive an e-mail notifying them that this shift is available. The e-mail will look like the below:
What the employee would then do is access their Self Service via the web browser, once logged in they'd scroll down to the 'Shift Notifications' heading where they can submit their response.
With the employees response defined, you'll be able to see this within the 'Shift Notifications' area:
Selecting the 'Allocate' button will assign that shift to the employee for that date, to which they should also receive an e-mail confirming this shift change.
