Within Chronicle, there are various holiday types available as well as the functionality to create your own. The ones available by default are:
- Holiday
- Bank Holiday
- Company Shutdown
- TOIL
- Unpaid Holiday
However, it is possible to create your own holiday types with entitlements, this allows for more flexibility on holiday rules, as creating different holiday types can have different rules against them.
To locate the holiday types to create or edit existing ones, access the 'Settings' via the option in the bottom-left corner, then the 'Holiday, Sick and Absence' drop-down and finally, 'Holidays'.
Creating Holiday Types
To create a new or amend an existing holiday type, select the orange 'Create Holiday' button or, double-click on an existing type.
Name - This is the name of the holiday type you are creating.
Code - This is a unique reference relating to this holiday type, this is not required.
Limit - This will be the amount of entitlement that is granted upon creation of a new employee.
- Please Note: This will not be applied to existing employees, the entitlement will need to manually be increased via the employee record for existing employees.
Paid - This option will ensure that when this type is booked, it will be paid hours.
Allow Negative - This option will allow the entitlement to go into a negative balance, allowing the entitlement to be booked beyond the specified amount the employee begins with.
Counts Towards Overtime - This option will ensure that the hours booked for this type will be included against any overtime rules against the shift/roster.
Counts Towards Bradford Factor - This option will make this type count as a "spell" and towards their Bradford Factor score.
Include in Self Service - This will mean that this entitlement will be visible against the employee record within their Self Service.
Counts Towards WTD - This will make this holiday type count towards the Working Time Directive.
Position - This will be the position it appears within the entitlement table on an employee record, we advise not going over the existing positions that are set-up by default.
Entitlement Counts Towards Holiday Type - Setting this will mean that when this holiday type is booked, it will deduct the amount from the selected holiday type.
Archived - Marking this will archive the holiday type, removing the ability to see or book this specific type.
With the appropriate settings marked against the holiday type, click 'Save' to finish.
Now that the holiday type is created, you'll be able to see this within the 'Entitlements' tab of an employee record. Which, for an existing employee will need to have the entitlement manually input.
This holiday type will also be requestable by the employee via their Chronicle Mobile App or Self Service as well as bookable via the Chronicle system or Chronicle Managers App.
