Within Chronicle, there are various absence types available as well as the functionality to create your own. The ones available by default are:
- Paid Absence
- Unpaid Absence
However, it is possible to create your own absence types with entitlements, this allows for more flexibility on absence rules, as creating different absence types can have different rules against them.
To locate the absence types to create or edit existing ones, access the 'Settings' via the option in the bottom-left corner, then the 'Holiday, Sick and Absence' drop-down and finally, 'Absences'.
Creating Absence Types
To create a new absence type, select the orange 'Create Absence' in the top-left, or to amend an existing one double-click on the existing absence type.
Name - This is what you will name the new absence type.
Code - This is a unique code for the absence type, this is not required.
Paid - Toggling this option will mean that the hours booked for this type will be paid hours.
Allow Negative - Toggling this option will mean that this can be booked above the entitlement that is available.
Counts Towards Overtime - This option enabled will mean that hours booked for this type will be included with any overtime rules that are in place.
Counts Towards WTD - This option enabled will mean hours against this absence type will be included into the Working Time Directive.
Allow Requests - This option, when enabled will mean that the employee will have visibility to request this absence type.
Archived - Enabling this will archive the absence type, removing it as an option to be booked/requested.
With the appropriate details defined for the absence type, click 'Save' to finish.
If 'Allow Requests' was enabled for this absence type, the employee will be able to see and request this absence type via their Chronicle Mobile App or Self Service. As well as this, admin/manager app users will be able to see this as an option to book for employees.
