Within Chronicle, there are various exception types that can raise against a work record. In this article, each exception type will be explained along with an example.
Already Clocked IN
This exception will raise if the employee has attempted to clock IN whilst already clocked in.
Example: Employee generated a clock IN at 08:00, then attempted to process another clock IN at 08:01.
Already on Break
This exception will raise if the employee has attempted to start a break successfully, but then select the 'Start Break' option again.
Example: Employee selected 'Start Break' during the appropriate break times which has begun the break, then selects 'Start Break' again a few moments later.
Break too Long
This exception will raise if the employee has exceeded the break duration.
Example: Employee is scheduled for a 30 minute break. They start the break at 12:00 and end the break at 12:45, longer than the breaks' duration.
Break Unavailable
This exception will raise when the system is unable to generate a break on the work record. This can be a result of no break settings being defined against the shift, or being clocked out/on break over the timings of when a 'Mandatory' break is trying to be input.
Example: Employee selects 'Start Break' on a shift that does not have a break set-up.
Clocked at a non-clocking location
This exception will raise if 'Non-Clocking Location' is ticked against a cost centre and an employee attempts to clock in within the ring-fence of that cost centre.
Example: Employees home is set-up as a cost centre and defined as a non-clocking location. The employee then clocks in within that location.
Clocked at wrong Cost Centre
This exception will raise if an employee clocks anywhere else other than the cost centre that is defined against their employee record.
Example: Employee is assigned to the 'Office' cost centre but the location of their clock IN is at.
Clocked IN Early
This exception will raise if the employee has processed a clock in before the shifts' start time. This is if there are no 'Grace Periods' in place.
Example: Employees shift start time is 08:00, the employee processes a clock IN at 07:59.
Clock IN on Non-Scheduled Day
This exception will raise if the employee clocks in on a REST day - This would be any shift that has 'Rest Day' ticked within the settings.
Example: Employee has Friday's off and these are rostered as a REST day, they then process a clock IN on that day.
Clock IN whilst Absent
This exception will raise if the employee has an absence scheduled and they process a clock IN.
Example: Employee has an absence scheduled against their work record, the employee then processes a clock IN on that day.
Clocked Late
This exception will raise when an employee clocks IN after the shifts' start time, this is providing there are no 'Grace Periods' set-up on the rostered shift.
Example: Employee is set to begin their shift at 08:00 but processes a clock IN at 08:03.
Clocked OUT by Server
This exception will raise if the employee processes a clock IN but no clock OUT, by default the system will clock them out after 16 hours however can be defined in the shift settings.
This can also happen if a terminal loses internet connection and stores the clocking's but is unable to process them until after the 16 hours from their original clock IN.
Example: Employee clocks in for the start of their shift at 08:00 but does not process an OUT clocking at 16:00, as no clock OUT is processed until 08:00 the next day, they are clocked out by the server (This does not create and end time on the work record).
Clocked OUT Early
This exception will raise if the employee processes a clock OUT prior to the defined 'End Time' of the shift. This is providing there are no 'Grace Periods' defined.
Example: The employees shift finishes at 16:00, they process the clock OUT at 15:55.
Clocked OUT whilst on Break
This exception will raise if the employee processes a clock OUT after beginning their break but before ending it.
Example: Employee uses the 'Start Break' option and then attempts to use the clock OUT option whilst still within their break.
Core hours not worked
This exception will raise if the hours defined against 'Core Start/End' on the shift that haven't been worked.
Example: Core Start/End on the shift are defined as 08:00-16:00. The employee clocks in and out at 08:10 & 13:00 which is not the defined core hours, resulting in the exception being raised.
Face Recognition Mismatch
This exception will raise if the employee has used the Chronicle Employee App to clock in, using facial recognition and it has not been able to correctly match the photo taken against the photo stored. This will only raise if 'Loosen facial check but raise mismatch exception' has been enabled against an employees user profile.
Example: The employee has attempted to take a facial recognition photo on their device in which the lighting or angle may slightly differ to the one that is stored, the clocking will process but raise the exception.
Location Unauthorised
This exception will raise if an employee has clocked in a location that is outside of the ring-fences of set-up cost centres within your Chronicle environment. This requires 'Location Services' to be enabled within company settings.
Example: The cost centre is set-up for the office, with a ring-fence covering the building. The employee attempts to clock in when they get off the bus which is 5 minutes away from the building, outside the ring-fence that is defined.
Not Clocked IN
This exception will raise if the start time of the shift has exceeded and there has not been an IN clocking actioned by the employee.
Example: The shift begins at 09:00 but the employee has forgotten to process a clocking, the exception will raise 20 minutes after the shifts' start time.
Not on Break
This exception raises when the employee attempts to 'End Break' whilst they are not on a break.
Example: Employee clicks 'End Break' without having begun their break at all.
Unable to Insert Break
This exception will raise if either a manual or automatic break is attempting to be inserted to the work record where it is unable too.
Example: The employee clocks in and out within an hour but the system is unable to insert the break due to the timings of the break that is defined against the shift.
