Within Chronicle, you can define various types of records and the details of those records. These can then be applied to employee's to help you track them by importance or current status.
Along with tracking these data records, notifications are provided to make you aware when something might be no longer valid or needs refreshing such as training.
HR records are split up into two areas, types and details, both of which are created within the settings. You'd begin within creating record types.
Creating a Record Type
Within the settings, under the 'HR' tab, select the option of 'Record Types'. By selecting 'Create Record Type' you'll be prompted to enter a name for this type.
The record type would be what that record/document relates to - For example, this can be 'Skills', 'Training', 'Certificates', 'Medical'.
Name - This is what you'll want to call the Record Type and will later be defined further using 'Record Details'
Hide from Self Service - This option will prevent this record type from being displayed within an employees Self Service.
With the information defined, select 'Save' to finish.
Creating Record Details
On the left-hand side, under the 'HR' tab, you'll see 'Record Details'. This will be were you can further define the record type more specifically
By selecting the 'Create Record Detail' button, you'll be able to select one of the previously created record types and define this further.
Record Type - This will be one of the record types that was previously created.
Name - This is to further describe the record in comparison to the type that was selected.
To finish, select the 'Save' option.
Creating a Record Label
Finally, on the left-hand side, access the 'Record Label' option and select the orange 'Create Record Label' option in the top-left.
Type - The type will always be defined as 'Record Label'.
Name - This is the name that you'll want to call this label.
The record label is used exclusively when applying records to employee(s) directly.
With the relevant information entered, click 'Save' to finish.
