Within Chronicle, you can create what is know as a "candidate", this is essentially a temporary employee record for someone that might be within the interview/onboarding process for your company and you'd like to track them on a workflow.
To view, edit or create new candidates within Chronicle, first access the 'Settings' option in the bottom left of the home screen menu items. Then, 'HR Records' and finally 'Candidates'.
Creating a Candidate
Within this screen, to add a new candidate select the orange 'Add Candidate' option in the top-right or to amend an existing candidate, double-click on the relevant row to open the details.
The only require fields on this form will be:
- Forename
- Surname
The other fields are all optional and can be updated at a later date if needed.
With all the required fields complete along with any other additional information, select 'Save' to finish.
Using the Candidate in a Workflow
Now that the candidate has been created, it can be used within a workflow. You would create the workflow process as normal, which more information can be found within this guide: V2 - Creating a Workflow – Chronicle Computing
Within the 'Processes' step, you'll be given the option to choose between 'Employees' or 'Candidates'.
Selecting this as 'Candidate' will ensure that this specific work flow applies only to candidates and not employees.
Add the 'Stages' as you normally would and click 'Save' to finish.
From there, navigate to the home screen and select the 'HR' section and select 'Workflow'.
Select the appropriate workflow that was created for candidates within the first drop-down filter. This will then change the 'All Employee' drop-down to 'All Candidates' whereby if you select this drop-down you'll see a list of candidates that have been created within your environment.
To add the candidates to the workflow, either select the candidate from the drop-down or use the 'All Candidates' option and click the green icon on the left-hand side.
This will then input the candidate(s) into stage 1 of the workflow.
