The 'Exceptions' screen found within the 'Manage' drop-down will be an almost day-to-day screen that you will visit to appropriately manage the exceptions that get raised against employee work records.
The screen gives you the ability to bulk manage exceptions, visit work records for further investigation and various options of resolving any missing data.
Filters
At the top of this page, you'll first see the various filtering options that are available. You can filter to a specific tag, date-range or exception type.
Tag
- You can use this option to filter to a specific tag that you have access to for easier viewing.
Date
- You can define a date range to filter the exceptions to a specific date, this may be useful if you were aware of the date a terminal went down for instance.
Exception
- You can use this drop-down to filter to a specific exception type.
Managing the Exceptions
Once you've defined your filters, you'll see the list of exceptions raised that match with your filters to which you can then begin managing them.
On the right-hand side of the exceptions, you have an 'Action' column - This column will provide you with the most likely actions that are required based on the exception type. however, by selecting the tick box on the left of one of the lines, it'll bring up further options for you to use to resolve any issues that may have been the cause of this exception, or the result of the exception being raised.
Before making use of any of the available options - You can double-click on the line to open the work record for that day. This can give you further insight as to what actions may need to be done following the exception being raised.
Once you have viewed the work record and are happy with how you are going to proceed with managing this exception, you can use the buttons to action various processes which can speed up the process.
The various actions are:
Create Default Shift
- Selecting this will create the default shift that employee is rostered/scheduled for - This can be used in the instance where they had issues clocking but you were made aware that the employee was in for that day.
Create Shift
- This will act similarly to 'Create Default Shift' but will instead allow you to choose one of your shifts that exist within your environment, as well as the option to auto-generate the work record for the selected shift.
Add End Time
- Adding an 'End Time' to the record will input the shifts' default end time into the work record - This can be used if the employee forgets to clock out and has had a 'Clocked out by server' exception raised.
Create Absence
- Creating an absence will allow you to input an absence against the work record - This can be used in the event of the employee calling in sick after their shift had started, leaving exceptions to be raised.
Delete Absence
- Selecting this will remove any absences that have been applied to the work record.
Clear
- Selecting 'Clear' will remove the exception from the work record and the list - This will be used if you've actioned the appropriate changes to the work record and no longer wish to see the absence.
Within this screen, you also have the ability to bulk clear the exceptions. This would be done by selecting the tick box at the top-left of the table, which selects all rows visible. To clear more than 15, be sure to amend the amount of shown items in the bottom right.
With all of the intended records ticked, simply click 'Clear' to remove them from the list.
